Medical Receptionist Jobs in Dubai at MATAR MEDICAL CENTER
Specific Duties & Responsibilities
· Hand over of newly hired personnel’s documentations i.e. photographs, passport & employment visa copies, educational certificates etc.
· Ensure prior preparation of new employee files according to the personal file check list;
· Maintain the SIRA Portal and Submit all documents for permanent SIRA ID’s to staff once residence visa is received.
· Apply for and Schedule for SIRA training as needed. (With coordination with PRO)
· Submit for SIRA Registration renewal and check for fines if any. (With coordination with PRO)
· Update employee master records on the system i.e. passport copies, photo, warning letters, contract etc.
· Provide copies of passports, visas if required by sites or clients
· Maintain and updating of attendance sheet, manpower deployment. Etc.
· Ensure that all paper work from staff is followed according to company policies & procedures.
· Assist in corresponding and organizing training schedules when required.
· Participate in Emergency and First Aid activities.
· Maintaining of all kind of client, or staff Reports.
· Participate in HSE meetings as required.
· Creation of commercial proposals if required.
· Maintain record of the pipeline.
· Conduct and participate ISO Renewals auditing and review.
· Creating and submission of petty cash requests.
· Creation of new client contracts/ Renewal of existing client contracts.
· Vehicle Handover forms to be created along with the inspection form and kept in logistics files.
· Vendor registration and online tendering portals management.
· Maintain an updated list of all suppliers and third-party contractors.
· Keep up records and filing both soft and hard copies in order staff and client wise.
· Spot checking the Camp, and keep an update of room occupancy updates.
· Receiving from the head of divisions updated attendance sheets and other documents.
· Provide assistance to operations team during tender processing.
· Liaison with Operation manager and HOD’s for training schedules, Logistics plan, Duty roasters, supervisor site visit schedules and PPM for cleaning.
· Liaison with Operation manager and Driver HOD for spot checking images of vehicles, logistics plan update, Maintenance requests.
· Liaison with Operations Manager and HR for SIM CARDS issuance and maintain an updated list of sim cards users.
· Support all administrative – OPSEC (operations security) when is required from Operations Manager.
· Assisting the HOD’s with the creation of monthly client reports to be submitted after verification and approval.
· Liaison with HOD’s and accounts department when receiving uniform request.
· Liaison with HR & PRO for status of the employees, vacations and other employee affairs.
· Liaison with PRO for Trade license renewal.
· Liaison with Accounts department for Insurance renewals such as workman compensation, public liability and professional indemnity.
· Liaison with Accounts department for Vehicle registration, renewals, insurance, branding permits and SALIK accounts.
· Any other tasks required by management.
Job Types: Full-time, Permanent
Pay: AED4,500.00 – AED5,000.00 per month
