Business Setup Operations Specialist – Job Description

As an Office Operations Specialist you will need to execute all business setup processes with zones across the UAE and UAE immigration authorities. You will also perform administrative, reconciliation and customer service duties. Work with clients by answering their queries and giving account updates. Review customer reports and direct the same to the relevant customer. Among reconciliation functions, you will do record keeping, and reconciling bank accounts and wire transfers.

You will also help Chief Executive Officer (CEO) or Chief Operations Officer (COO) and other executive managers .

This is an exciting role for someone looking to establish a career and learn all about working and managing a consulting and technology business, developing a new market and product.

The candidate will be trained to conduct specific operations activities related to report generation and account management for clients, providing vital support to the development of business .

Scope of Duties is as follows :

Company formation / License Issuance / Visa / Documents submission and collection with Free zones and DED across the UAE.
All PRO functions related to VISA and immigration
Coordination with High Profile Clients locally and globally
Performing administrative duties
Managing the reception desk at the Office
Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
Managing CEO and executives’ calendars and set up meetings
Acting as the point of contact among executives, employees, clients and other external partners.
Compilation and Preparation of reports derived from the platform’s content management system. Execution of timely delivery of the reports generated for clients and business partners.
Couriering important files.
Providing innovative ideas for office management
Managing records of company policies and procedures
Coordinating company meeting, events and sessions with all staff members
Planning, executing and managing CEO and senior executives’ travel arrangements.
Preparing guests or client accommodations when required
Creating presentations, documents, files, spreadsheets and databases
Arranging for the delivery of domestic and international packages
Maintaining day to day cash register and accounts, invoices and payments to vendors.
Managing the Invoices raised for clients.
Assist in Research & Support activity for Ezeebiz team members
Continuous research and updating of the information and data collected from the dynamic business world of the UAE.
Coordination with external parties for business setup and company formation.

Key Skills:-

Experience in company setup / Visa / License issuance with Freezones and DED
Experience of working in a business advisory environment such company formation entity
Experience of working with government entities
Understanding of UAE company formation
Excellent communication skills, proficiency in English , Spoken knowledge of Arabic.
Ability to cope with fast-paced work environment
Strong attention to detail and a strong analytical mind.
Good organizational skills and time management
Good all-round communication skills- listening, written and verbal in English and Arabic
Confident presentation skills
Commercial awareness
A methodical approach to work
Have strong IT skills and have knowledge of or be keen to learn newer software packages
Marketing / Business / is a definite plus as an expertise
Problem solving attitude
Capacity to multi task
Ability to think on your feet

Qualifications and requirements

A Graduate degree in Commerce / Business / Marketing / Business administration , Having special training in bookkeeping, word processing, document management, business administration, and data entry is recommended.
Ability to give full attention to what other people are saying, to actively look for ways to help people, and to adjust actions in relation to others’ actions.
