Job Title: Secretary / Document Controller (Finance Background)

Job Summary:
The Secretary / Document Controller plays a pivotal role in managing administrative and financial documentation within the company, ensuring the efficient flow of information related to real estate development projects. This role requires a combination of strong organizational, administrative, and financial management skills, along with a solid understanding of Dubai Real Estate Laws and Regulations to support company operations effectively.
Key Responsibilities:Secretarial & Administrative Duties:
Manage and coordinate executive calendars, schedules, and appointments.
Organize meetings, conferences, and travel arrangements.
Prepare and distribute meeting agendas, minutes, and other supporting documents.
Handle incoming and outgoing correspondence, including emails, letters, and faxes.
Maintain office supplies and equipment inventory to ensure smooth operations.
Greet visitors and handle phone calls professionally and courteously.
Document Control:
Establish and maintain an efficient document control system for project-related records, including contracts, invoices, financial statements, and project plans.
Ensure all documents are correctly labeled, indexed, and stored in compliance with company policies.
Oversee document issuance and distribution to authorized personnel.
Track and monitor document revisions to ensure stakeholders have access to the latest versions.
Assist in compiling and submitting project close-out documentation.
Finance Support:
Assist in processing invoices, purchase orders, and expense reports.
Maintain accurate financial records and prepare periodic reports.
Support the preparation of budgets and financial forecasts.
Reconcile bank statements and corporate credit card accounts.
Assist with financial audits and reviews as required.
Real Estate Laws & Compliance:
Ensure strict compliance with Dubai Real Estate Laws and Regulations, particularly in relation to contract management, financial documentation, and project approvals.
Maintain updated knowledge of Dubai Land Department (DLD), RERA regulations, and legal requirements affecting real estate transactions.
Assist in the preparation and submission of regulatory reports as required by authorities.
Support legal teams in handling lease agreements, property sales, and transfer documentation in compliance with UAE laws.
Qualifications & Experience:
Bachelor’s degree in Business Administration, Finance, Accounting, or a related field.
Minimum of 3 years of experience in a secretarial or administrative role, preferably within the real estate or construction industry.
Strong understanding of financial concepts and document control procedures.
Must be proficient in Dubai Real Estate Laws and Regulations (including Dubai Land Department (DLD) and RERA requirements).
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and document management software.
Ability to work independently and collaboratively in a team environment.
Strong organizational and time management skills with a keen eye for detail.
Ability to maintain confidentiality in handling sensitive financial and corporate documents.
