Job Description:
An Export Specialist in the general trading and building materials industry is responsible for managing the export processes, ensuring that products are shipped and delivered to international customers in a timely and compliant manner. They play a key role in increasing the company’s global reach and facilitating trade between countries.
1. Export Documentation & Compliance
Preparation of Export Documents: Ensure all necessary export documentation is prepared, such as commercial invoices, packing lists, certificates of origin, export licenses, and customs declarations.
Customs Compliance: Ensure that the company’s products comply with all the import/export regulations and standards of the destination country. This includes adhering to import duties, taxes, and customs requirements.
Trade Agreements: Prepare, review, and negotiate contracts with international customers, ensuring that the terms and conditions align with the company’s goals.
2. Market Research & Export Strategy
Market Identification: Conduct market research to identify new international markets for building materials and general trading products, such as cement, steel, tiles, or paints.
Competitive Analysis: Monitor competitors’ activities in international markets, including their pricing, marketing strategies, and product offerings.
Export Strategy: Develop and implement export strategies, including selecting target markets, pricing, and promotional activities, to maximize revenue from international sales.
3. International Sales Support
Sales Lead Generation: Identify potential customers in target international markets, generating leads, and facilitating sales opportunities.
Customer Relationship Management: Build and maintain strong relationships with international customers, distributors, and agents.
Pricing and Quotations: Provide pricing and quotations for customers based on the market conditions, product specifications, and shipping costs.
Negotiation: Negotiate terms of sale, payment terms, shipping arrangements, and discounts with international clients.
4. Logistics & Supply Chain Coordination
Shipping Arrangements: Coordinate the logistics for international shipments, working closely with freight forwarders, customs brokers, and shipping agents to ensure that goods are shipped according to plan.
Transport Coordination: Ensure that transportation routes are cost-effective and efficient, optimizing shipping time and costs.
Tracking Shipments: Monitor and track shipments to ensure timely delivery and address any issues that may arise during transportation.
5. Risk Management
Export Risk Assessment: Assess potential risks involved in international shipping, including currency fluctuations, shipping delays, and customs issues.
Insurance: Arrange for insurance coverage for goods in transit to protect against risks such as theft, damage, or loss.
Payment Risk Management: Monitor and manage payment terms, including Letters of Credit (LC), advance payments, or open account terms, to minimize financial risks.
6. Customer Support & Issue Resolution
Post-Sales Support: Provide post-sales support to international customers, including handling complaints, returns, or damaged goods.
Technical Assistance: Offer product-related technical assistance when required, especially for complex building materials or products requiring specific installation knowledge.
Problem Resolution: Address and resolve issues related to shipping delays, damaged goods, or order discrepancies in collaboration with the customer and logistics partners.
7. Financial & Budget Management
Cost Control: Monitor export-related costs, including shipping, tariffs, and insurance, to ensure profitability.
Invoicing & Payment Follow-Up: Oversee invoicing for export transactions and follow up with customers on payment to ensure timely receipt of funds.
Budgeting: Assist in preparing and managing the export budget to align with the company’s financial goals.
8. Reporting & Documentation
Export Reports: Prepare and submit regular reports on export sales performance, market trends, customer feedback, and logistical operations.
Data Maintenance: Maintain accurate records of all export transactions, including orders, invoices, and shipping documents, ensuring compliance with local and international trade regulations.
Performance Metrics: Track and report on the performance of export sales and shipments, identifying areas for improvement.
9. Strategic Partnerships
Distributor Relations: Build relationships with international distributors and partners to expand the company’s market presence in key regions.
Trade Partnerships: Develop partnerships with foreign agents, freight companies, and local businesses to strengthen the company’s export network.
Requirements:
Preferred: Bachelor’s Degree in Business, International Trade, Marketing, or related fields.
Industry Knowledge: Understanding of building materials and international trade processes.
Technical Skills: Proficiency in export documentation, ERP systems (e.g., Tally), and CRM software.
Experience: 2-3 years of experience in export, international sales, or logistics, ideally within the building materials sector.
Soft Skills: Strong negotiation, communication, analytical, and problem-solving skills.
English: Fluency in English (both written and spoken).
Additional Languages: Proficiency in Arabic and Hindi is an advantage.
