Job Purpose:
To manage and maintain all employee-related documentation throughout the employment lifecycle in line with Saudi Labor Law. The HR Operations Officer ensures timely processing and accurate record-keeping of promotions, salary changes, overtime, disciplinary actions, transfers, and end-of-service procedures, while maintaining the HR master list.
Key Responsibilities:
1. HR Documentation & Records Management
Prepare and issue all official employee documents including:
Promotion letters
Salary adjustment letters
Overtime approvals
Warning or deduction letters
Transfer letters (location or department)
End of service notifications and final settlements
Ensure all documents are properly signed, stored, and filed (both physically and electronically) in employee files.
2. Employee Master List & Data Updates
Maintain and regularly update the master employee database with all changes:
Promotions and grade changes
Department or site transfers
Salary changes or deductions
Overtime records
Resignations or terminations
Ensure accuracy and completeness of all HR data.
3. Overtime, Deductions & Payroll Coordination
Compile and verify overtime sheets submitted by departments.
Coordinate with payroll to ensure approved overtime is processed correctly.
Process salary deductions due to absences, penalties, or other reasons in accordance with company policy and Saudi Labor Law.
4. Transfers & Employee Movement
Process and document employee transfers between projects, departments, or regions.
Update records in HR systems and ensure proper coordination with PRO/administration if Iqama location updates are needed.
5. End of Service & Final Settlement
Calculate and process end-of-service benefits (ESB) as per Saudi Labor Law.
Prepare final settlement documents and coordinate with payroll for timely processing.
Ensure all exit documents are collected and properly filed (resignation, clearance, exit interview if applicable).
6. Labor Law Compliance
Ensure all documentation and actions are in line with the Saudi Labor Law.
Maintain confidentiality and legal integrity in handling employee files and actions.
Qualifications & Skills:
Bachelor’s degree in HR, Business Administration, or a related field
2–4 years of experience in HR operations or documentation in Saudi Arabia
Strong knowledge of Saudi Labor Law and documentation standards
Proficiency in Excel and HR systems (e.g., SAP, Zoho, or in-house systems)
Excellent attention to detail and organizational skills
Bilingual: Arabic and English
Preferred:
Experience in Facilities Management or contracting sectors
Familiarity with platforms like GOSI, Qiwa, and Mudad (for reference during ESB processing)
