A Groups and Events Coordinator is responsible for managing incoming groups and events at the hotel, acting as a liaison between the customer and the hotel’s commercial and operational departments. The role involves being the primary contact for clients upon their arrival, working collaboratively with the hotel team to meet established goals.

What will I be doing?

As a Groups and Events Coordinator, you will oversee the entire process of events at the hotel, from initial contact with the client to the signing of contracts, and through to the conclusion of the event. Your responsibilities include:

Receiving and updating information on groups and events

Drafting contracts for groups and events

Entering rooming lists, updating payment instructions, and recording relevant information in the system

Negotiating budgets with clients

Creating detailed work orders for events in the system

Conducting briefings with clients regarding event details (attendance, categories, pricing, payment methods, contact information, special notes, etc.)

Preparing monthly reports and closing group information

Collaborating closely with Account Managers, Sales Coordinators, Reservations, Front Desk, Event Departments, Hilton Meetings, and Kitchen teams

Engaging directly with guests or clients during their stay

Participating in special activities such as cocktail receptions and welcome tours

Ensuring prompt and efficient response to all client requests

Previous experience in sales, groups, and events, preferably within hospitality

Excellent organizational and planning skills

Proficiency in computer applications such as Excel, PowerPoint, and Word

A proactive attitude to meet deadlines and achieve objectives
