A Groups and Events Executive is responsible for managing groups and events at the hotel, acting as an intermediary between the customer and the hotel’s commercial and operational teams. The role involves being the main contact for clients during their event and collaborating with the hotel to meet set goals.
What will I be doing?
As a Groups and Events Executive, you will oversee hotel events from initial contact with the client to contract preparation, and through to the conclusion of the event. Your responsibilities will include:
Receiving groups and events and maintaining updated hotel records
Drafting contracts for groups and events
Entering Rooming Lists, updating payment instructions, and recording relevant group information in the system
Negotiating budgets with clients
Developing Event Work Orders with all necessary details
Conducting briefings with clients covering event specifics (attendance, category, pricing, payment methods, contacts, notes, etc.)
Generating monthly group reports and updating closure information
Collaborating regularly with Account Managers, Sales Coordinators, Reservations, Front Desk, Department Heads, Hilton Meetings, and Kitchen staff
Engaging directly with guests or clients during their stay
Participating in special activities such as cocktail receptions and welcome tours
Ensuring all client requests are addressed promptly and efficiently

Degree or MBA in Management, Hospitality, or Marketing
Previous experience in sales, groups, and events, preferably within the hospitality industry
Strong multitasking and organizational skills
Problem-solving abilities and efficiency
Proficiency in computer applications such as Excel, PowerPoint, and Word
A proactive attitude to meet deadlines and achieve objectives
