Role Purpose
Government & Public Affairs Specialist Representative is responsible for managing all government relations, licensing, regulatory compliance, and public affairs activities to support the company’s operations and strategic objectives. The role serves as the primary liaison between the company and government entities, regulatory authorities, embassies, consulates, and other external stakeholders, ensuring the timely processing of governmental transactions, licenses, permits, visas, and official approvals.
The position is also responsible for maintaining strong relationships with government officials, monitoring regulatory developments, coordinating stakeholder engagement activities, and supporting corporate representation at official events, conferences, and public-sector engagements.
Key Responsibilities
Government Relations & Public Affairs
- Serve as the primary point of contact between the company and government entities, regulatory authorities, embassies, consulates, and public-sector organizations.
- Establish, develop, and maintain effective working relationships with government officials and external stakeholders.
- Represent the company in meetings, discussions, official visits, conferences, and engagements with government bodies and regulatory agencies.
- Facilitate communication and correspondence between the company and governmental organizations.
- Support senior management in stakeholder engagement initiatives, presentations, speeches, official correspondence, and public affairs activities.
- Plan and coordinate arrangements for diplomatic delegations, government officials, and VIP visitors to company premises.
- Represent the company at external conferences, forums, workshops, and industry events, providing feedback and recommendations on outcomes and follow-up actions.
Licensing, Permits & Government Transactions
- Manage the application, renewal, amendment, and cancellation of all company licenses, permits, certifications, registrations, and government approvals required for business operations.
- Ensure timely processing and renewal of commercial licenses, operational permits, event licenses, regulatory certificates, and other government-related authorizations.
- Coordinate and follow up with relevant government authorities to obtain approvals, permits, and regulatory clearances.
- Escalate issues related to licenses, permits, approvals, visas, and regulatory requirements to ensure uninterrupted business operations.
- Maintain a comprehensive tracker of all licenses, permits, certificates, and expiration dates to ensure timely renewals and compliance.
Employee Government Services & Immigration
- Manage all employee-related government transactions, including: – Work visas
- Visit visas
- Exit/Re-entry visas
- Iqama issuance and renewal
- Passport renewals
- Work permits
- Sponsorship transfers
- Employee registrations and updates with government authorities
- Coordinate visa applications and renewals for employees, visitors, contractors, and business guests.
- Liaise with relevant authorities to facilitate the transfer of sponsorship for locally hired employees.
- Respond to employee inquiries regarding government services, immigration matters, and regulatory requirements.
- Ensure compliance with all labor, immigration, and residency regulations.
Government Platforms & Regulatory Compliance
- Manage and process transactions through government electronic platforms and portals.
- Handle all matters related to: – General Organization for Social Insurance (GOSI)
- Ministry of Interior (MOI)
- Ministry of Foreign Affairs (MOFA)
- Ministry of Human Resources and Social Development (MHRSD)
- Muqeem, Qiwa, Absher, and other relevant government platforms
- Embassies and Consulates
- Government commissions, municipalities, authorities, and regulatory agencies
- Monitor changes in government regulations, policies, procedures, and compliance requirements.
- Advise management and internal stakeholders on regulatory developments and their operational impact.
- Ensure the company remains compliant with all applicable governmental and regulatory requirements.
- Support the preparation and submission of Saudization reports, workforce data, and other government-mandated reports.
Stakeholder Management
- Build and maintain productive relationships with strategic stakeholders, business partners, industry associations, and external organizations.
- Develop partnerships that support the company’s operational and strategic objectives.
- Coordinate with internal departments and external parties to facilitate regulatory compliance and business continuity.
- Act as a trusted liaison between internal stakeholders and government entities to resolve issues and expedite approvals.
Events & Conference Coordination
- Plan, organize, and coordinate corporate events, conferences, workshops, forums, official visits, and stakeholder meetings.
- Liaise with government entities, embassies, and external stakeholders to ensure successful event execution.
- Manage invitations, protocol requirements, logistics, and stakeholder participation.
- Support executive management during public-sector engagements and official events.
Reporting & Administration
- Maintain accurate records of government transactions, approvals, licenses, permits, visas, and official correspondence.
- Prepare periodic reports and management updates on government relations activities, licensing status, compliance matters, and stakeholder engagement.
- Maintain organized documentation and ensure all records are current, secure, and readily accessible.
- Track pending applications and proactively follow up with government entities to ensure timely completion.
Knowledge & Experience
- Bachelor’s degree in Business Administration, Public Administration, Political Science, Law, International Relations, Human Resources, or a related field.
- Minimum 7 years of experience in Government Relations, Public Affairs, Regulatory Affairs, Licensing, PRO Services, or a similar role.
- Proven experience dealing with ministries, government entities, embassies, consulates, municipalities, and regulatory authorities.
- Strong knowledge of labor, immigration, residency, licensing, and regulatory requirements.
- Hands-on experience managing government electronic platforms and administrative procedures.
