Job Description: We are seeking a competent and detail-oriented individual based in India to fill the role of Sales Coordinator/Document Controller, working remotely. The ideal candidate will have expertise in handling documents, preparing international trade contracts, and managing letter of credit transactions. In this role, you will be responsible for ensuring the smooth flow of documents related to sales transactions, coordinating with various internal and external stakeholders, overseeing shipment handling (including loose and bulk shipments), and ensuring compliance with regulatory requirements.
Responsibilities:
Document Management: Manage and maintain all documents related to sales transactions, including purchase orders, invoices, shipping documents, and contracts. Ensure accuracy, completeness, and timely processing of documents.
Contract Preparation & Handling: Assist in the preparation, review, and execution of international trade contracts. Ensure that contracts are in compliance with legal and regulatory requirements and accurately reflect the terms agreed upon by all parties involved.
Letter of Credit Handling: Coordinate letter of credit transactions, including the preparation of required documentation, liaising with banks, and ensuring compliance with terms and conditions.
Logistics Coordination & Shipment Handling: Oversee and coordinate logistics for shipment handling, ensuring the smooth flow of shipments, especially for loose and bulk goods. Work closely with freight forwarders, customs, and internal teams to ensure timely and cost-effective delivery.
Communication: Serve as a liaison between sales teams, customers, suppliers, freight forwarders, customs agents, and other relevant parties to facilitate the exchange of information and documentation related to sales transactions.
Compliance: Stay updated on relevant laws, regulations, and industry standards related to international trade, shipping, and document management. Ensure that all transactions and shipments comply with applicable regulations and company policies.
Requirements:
Experience: Proven experience of 5 years in a similar role, with a focus on document management, contract preparation, letter of credit handling, and logistics coordination (including loose and bulk shipments).
Expertise in Document Handling & Contract Preparation: Strong background in preparing, reviewing, and executing contracts for international trade, as well as managing various document types associated with sales transactions.
Knowledge: Strong understanding of letter of credit procedures, international trade regulations, contract law, and shipping logistics. Familiarity with Incoterms, shipping regulations, and bulk shipment handling is a plus.
Attention to Detail: Exceptional attention to detail and accuracy in document handling, contract preparation, and data entry.
Communication Skills: Excellent verbal and written communication skills. Ability to effectively communicate with stakeholders at all levels, both internally and externally, in a remote work environment.
Tech-Savvy: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with document management systems/software. Familiarity with virtual communication and project management tools is preferred.
Location: This is a remote position as on now, and we are specifically looking for candidates based in India. However the candidate shall be ready to locate to office in one of the metro cities in future, whenever the operations start in India.
