Front Desk Receptionist Jobs in Amman, Jordan at Acadian International Trade

We are seeking a professional, organized, and welcoming Front Desk Receptionist & Executive Assistant to serve as the first point of contact for visitors and clients while providing administrative support to the CEO. The ideal candidate is highly organized, detail-oriented, bilingual in English and Arabic, and capable of managing multiple responsibilities in a fast-paced environment.

Key Responsibilities

Front Desk & Reception Duties

  • Greet and welcome visitors, clients, and guests in a professional and friendly manner.
  • Answer and direct incoming phone calls and emails.
  • Manage visitor sign-in procedures and maintain a professional reception area.
  • Handle incoming and outgoing mail, deliveries, and courier services.
  • Provide general administrative support to staff as needed.

Executive Support to CEO

  • Manage and maintain the CEO’s calendar, appointments, and daily agenda.
  • Coordinate meetings, prepare meeting schedules, and ensure all arrangements are in place.
  • Organize and coordinate domestic and international travel, including flights, accommodations, transportation, and itineraries.
  • Assist with correspondence, meeting preparations, and follow-up actions.
  • Maintain confidentiality regarding executive and company matters.

Hospitality & Office Management

  • Prepare refreshments, coffee, tea, and beverages for the CEO and visiting guests.
  • Ensure meeting rooms are prepared and presentable before meetings.
  • Maintain kitchen supplies and ensure refreshments are adequately stocked.
  • Monitor and replenish office and cleaning supplies as needed.
  • Coordinate with vendors and service providers when necessary.
  • Help maintain a clean, organized, and professional office environment.
