Trip Planning and Execution
Arrange and optimize trips based on client-submitted, signed marine ticket forms.
Develop comprehensive sailing schedules and assign appropriate vessels for efficient cargo/manpower transport.
Communicate detailed trip information to clients, including vessel specifications, precise timing, sailing schedules, specific instructions, and up-to-date weather forecasts.
Distribute daily weather forecasts to clients, enabling them to prepare for potential weather-related delays or cancellations.
Distribute detailed sailing schedules to vessel operators and jetty teams, including truck plate numbers and specific cargo information.
Client Communication and Reporting
Serve as the primary point of contact for clients, maintaining professional and responsive communication.
Promptly report any schedule deviations to clients, providing clear explanations and alternative solutions.
Deliver immediate notifications for delays or potential cancellations, along with proposed mitigation strategies.
Keep clients consistently informed of updated estimated arrival and departure times.
Provide instant notifications of vessel breakdowns, including action plans for cargo rerouting or alternative transport.
Offer regular, detailed updates on weather conditions that may affect sailing schedules, including long-term forecasts for planning purposes.
Contingency Management
Develop, maintain, and regularly update comprehensive backup sailing plans for various vessel breakdown scenarios.
Implement and oversee contingency sailing operations to prioritize cargo/manpower service across all islands efficiently.
Coordinate closely with other teams during adverse weather conditions to facilitate critical cargo/manpower transport when possible, ensuring minimal disruption to client operations.
Data Management and Reporting
Maintain comprehensive, up-to-date daily records and a live, interactive dashboard of vessel movements, cargo transfers, delays, vessel utilization status, and all related operational information.
Compile, analyze, and share daily data updates with clients to support their analysis and reporting needs.
Maintain a secure and organized system of record evidence for all marine tickets, ensuring easy retrieval and audit compliance.
Prepare and submit detailed timesheets for client’s usage of marine services, ensuring accuracy.
Meticulously review invoices from suppliers, verifying charges against agreed terms and resolving discrepancies promptly.
Provide comprehensive support in data analysis, including trend identification, cost optimization opportunities, and performance metrics.
Assist in the preparation of management reports, presentations, and strategic planning documents, translating complex data into clear, actionable insights.
Cross-Functional Coordination
Collaborate closely with commercial and procurement teams to ensure alignment on logistics strategies and optimize operational efficiency.
Prepare in-depth analysis reports for various stakeholders, including senior management, finance, and operations teams.
Participate in cross-departmental meetings to provide logistics insights and contribute to strategic decision-making.
