Key Responsibilities

Fleet Operations Management

  • Manage the daily deployment and scheduling of heavy vehicles to ensure maximum fleet utilization.
  • Assign transport requests to drivers based on location, cargo type, driver availability, and working hours.
  • Optimize vehicle routing to minimize empty kilometers and improve operational efficiency.
  • Monitor fleet movements in real-time using GPS tracking systems such as Wialon, Geotab, and WhatsGPS.
  • Respond promptly to operational disruptions including breakdowns, delays, road closures, and checkpoint issues.
  • Ensure transport services meet project schedules and customer requirements.

Fleet Performance & Cost Control

  • Monitor daily fuel consumption using FLS fuel monitoring systems and investigate fuel deviations.
  • Analyze operational data to improve fuel efficiency and reduce transportation costs.
  • Track fleet utilization, cost per kilometer, idle time, and empty mileage.
  • Coordinate preventive maintenance schedules based on mileage and manufacturer recommendations.
  • Monitor tire performance, oil changes, filters, and other maintenance requirements to minimize unplanned downtime.
  • Work closely with maintenance teams to ensure vehicle availability and reliability.

Driver Management

  • Supervise a large team of drivers and ensure sufficient manpower coverage across all operations.
  • Prepare driver rosters, shift schedules, and leave plans to maintain uninterrupted fleet operations.
  • Monitor driver productivity and evaluate performance using key performance indicators.
  • Conduct driver inductions and training on:
  • Company policies
  • Fleet tracking systems
  • Safe driving practices
  • Eco-driving techniques
  • Regulatory compliance
  • Investigate traffic violations, accidents, and incidents, implementing corrective and preventive actions.

Compliance & Documentation

  • Ensure all fleet documentation remains valid, including:
  • Vehicle registrations
  • Insurance
  • MVPI certificates
  • Operating cards
  • Driver licenses
  • Generate transport documentation through the Naql Platform.
  • Monitor cargo manifests using the Bayan System.
  • Maintain accurate records for:
  • Fuel invoices
  • Maintenance records
  • Weighbridge tickets
  • Fleet operational reports
  • Prepare weekly and monthly operational reports covering fleet performance, utilization, costs, maintenance, and operational issues.

Operational Reporting & KPI Management

  • Monitor and report on fleet performance against established KPIs.
  • Analyze operational trends and recommend improvements to increase productivity and reduce operating costs.

  • Fuel efficiency
  • On-time delivery
  • Maintenance performance
  • Driver performance
  • Cost analysis

Health, Safety & Regulatory Compliance

  • Ensure compliance with company HSE policies and transportation regulations.
  • Monitor adherence to TGA working and rest-hour regulations.
  • Promote a strong safety culture among drivers and fleet personnel.
  • Ensure cargo is transported safely while protecting company assets and customer property.

Qualifications

  • Diploma or Bachelor’s Degree in Logistics, Supply Chain Management, Business Administration, or a related discipline.
  • Additional certifications in Fleet Management or Logistics are advantageous.

Experience

  • Minimum 7 years of experience in fleet or transportation operations.
  • At least 3–5 years managing heavy commercial vehicle fleets.
  • Experience handling fleets supporting industrial projects, shutdowns, turnaround projects, or large-scale logistics operations.
  • Experience managing fleets of 500+ heavy vehicles and supervising 700+ drivers is highly preferred.
