The Post-Production Coordinator is responsible for supporting daily coffee production activities after roasting, including packing coffee, coordinating online and wholesale orders, preparing products for dispatch, maintaining inventory records, and ensuring orders are fulfilled accurately and on time.
This role works closely with the Production, Warehouse, Logistics, and Sales teams to ensure smooth day-to-day operations, product quality, inventory accuracy, and timely order fulfillment.
Key ResponsibilitiesProduction & Packing
- Pack roasted coffee according to company standards and production schedules.
- Ensure products are labeled correctly with accurate batch information and expiry dates.
- Conduct final quality checks on packed products before storage or dispatch.
- Monitor packaging quality and report any defects or discrepancies.
- Maintain cleanliness and organization within the production and packing areas.
Order Fulfillment & Dispatch Coordination
- Prepare and coordinate daily online, retail, and wholesale orders.
- Ensure orders are picked, packed, and dispatched accurately and on time.
- Coordinate with delivery partners and logistics providers regarding collections and deliveries.
- Monitor order status and communicate any delays or issues to the relevant departments.
- Ensure all dispatch documentation is accurate and complete.
Inventory Management
- Maintain accurate records of finished goods, packaging materials, and stock movements.
- Conduct regular stock counts and assist with inventory reconciliation.
- Monitor stock levels and report shortages or inventory discrepancies.
- Ensure proper storage and stock rotation practices are followed.
Documentation & Administration
- Maintain production, packing, inventory, and dispatch records.
- Update order tracking systems and inventory reports.
- Assist in preparing daily and weekly operational reports.
- Ensure all records are accurate, organized, and readily available when required.
Team Support & Compliance
- Assist with general production activities as required.
- Coordinate effectively with Production, Sales, Warehouse, and Logistics teams.
- Follow company quality, food safety, hygiene, and workplace safety procedures at all times.
- Support continuous improvement initiatives to enhance efficiency and accuracy.
Skills & Competencies
- Strong organizational and coordination skills
- Excellent attention to detail and accuracy
- Inventory and stock management knowledge
- Good communication and teamwork skills
- Ability to prioritize tasks and meet deadlines
- Basic proficiency in Microsoft Excel and inventory systems
- Understanding of food production and packaging processes is an advantage
Qualifications & Experience
- High School Diploma or equivalent qualification.
- 1–3 years of experience in production, packing, inventory control, warehouse operations, order fulfillment, or a similar role.
- Experience within the coffee, food production, or FMCG industry is an advantage.
- Familiarity with inventory systems and order processing is preferred.
Working Conditions
- Based in a coffee production and roasting environment.
- Requires regular movement between production, packing, storage, and dispatch areas.
- Involves product inspections, inventory checks, and coordination with multiple departments.
- May require occasional lifting and handling of coffee products and materials.
- Working hours may vary based on production and dispatch schedules.
