Job Summary:
We are seeking a proactive and detail-oriented Operations Coordinator–Admin to support the Operations Team (Workshop, Transport, and Logistics). This role is ideal for candidates with experience as a Service Advisor or fresh graduates with a technical degree looking to build a career in operations management. The Operations Coordinator will manage administrative tasks, oversee job assignments, and coordinate with the Operations Team, vendors, and key stakeholders. Strong organizational skills, attention to detail, and the ability to work in a fast-paced environment are essential.
Key Responsibilities:
Create, manage, and maintain job cards and other administrative tasks, ensuring accurate documentation.
Assist in scheduling machinery maintenance and repairs with the Workshop Team.
Support the Transport & Logistics Team by tracking vehicle movements and scheduling transport needs.
Monitor vehicle usage and ensure compliance with operational guidelines.
Maintain records of equipment, spare parts, and workforce allocation to optimize resources.
Track job progress and address any delays affecting operations.
Process purchase orders and invoices related to operations.
Coordinate with vendors, procurement teams, and suppliers to ensure timely delivery of materials and services.
Ensure adherence to safety standards and enforce company policies across all sites.
Manage employee attendance and leave tracking, assisting HR with documentation.
Maintain clear communication with internal teams and external stakeholders.
Act as the point of contact between the Operations Team, procurement, and management.
Qualifications & Skills:
Education & Experience:
Previous experience as a Service Advisor in a workshop, automotive, or technical service environment, or
Fresh graduates with a technical degree (e.g., Mechanical, Automotive, or Industrial Engineering).
Technical Skills:
Proficiency in Microsoft Office (Excel, Word, Outlook) and ERP systems.
Experience in creating and managing job cards is a plus.
Soft Skills:
Excellent communication skills.
Strong organizational, multitasking, and problem-solving abilities.
Basic understanding of workshop operations, transport & logistics, machinery maintenance, and spare parts handling.
Ability to work under pressure, prioritize tasks, and meet deadlines.
Job Type: Full-time
Pay: AED2,000.00 – AED3,500.00 per month
