We are seeking a skilled and dynamic Purchasing Supervisor to join our hotel management team. This position is exclusively for female candidates with previous hotel experience. As a Purchasing Supervisor, you will play a key role in overseeing the purchasing activities for the hotel, ensuring that all supplies and materials are ordered, received, and distributed in a timely and cost-effective manner. Your role will directly impact the hotel’s operational efficiency and guest satisfaction.
Key Responsibilities:
Procurement Management:
Supervise and coordinate all purchasing activities for the hotel, including food and beverage, housekeeping, maintenance, and office supplies.
Ensure that all purchases comply with hotel policies and budgetary guidelines.
Negotiate with suppliers and vendors to secure the best possible prices, quality, and delivery terms.
Monitor inventory levels and ensure that stock levels are sufficient to meet hotel demands without overstocking.
Supplier Relationship Management:
Develop and maintain positive relationships with key suppliers and vendors.
Continuously assess supplier performance, resolve any issues with deliveries or quality, and ensure that agreements are met.
Research and recommend new suppliers when necessary to meet the hotel’s needs.
Inventory Control:
Oversee the proper management of hotel inventory, ensuring accuracy and consistency in stock levels.
Conduct regular stock audits to identify discrepancies, shortages, or excess inventory.
Coordinate the timely delivery and storage of goods, ensuring proper inventory rotation (FIFO or FEFO methods).
Budget and Cost Control:
Monitor and control the purchasing budget, ensuring that costs remain within established limits.
Track expenses and identify cost-saving opportunities without compromising on quality or service.
Prepare and maintain reports on purchasing activities, cost savings, and inventory status.
Team Supervision and Training:
Supervise a team of purchasing assistants and clerks, providing guidance and training on hotel purchasing policies and procedures.
Ensure that the team is efficient, motivated, and aligned with the hotel’s operational needs.
Promote a collaborative working environment with other hotel departments to ensure smooth procurement processes.
Compliance and Documentation:
Ensure compliance with all relevant legal and safety regulations regarding procurement practices.
Maintain accurate and up-to-date records of all purchase orders, contracts, invoices, and deliveries.
Monitor quality control processes to ensure all purchased items meet the hotel’s standards.
Operational Support:
Coordinate with other departments (e.g., food and beverage, housekeeping, maintenance) to understand their needs and ensure timely delivery of supplies.
Assist in troubleshooting and resolving any issues related to procurement or inventory shortages.
Qualifications:
Gender Requirement: Female candidates only (per job requirements).
Experience: Minimum of 3-5 years of experience in purchasing or procurement, preferably within the hospitality industry.
Hotel Experience: Previous experience working in a hotel environment is essential to understand the unique demands and fast-paced nature of hotel operations.
Skills:
Strong negotiation and communication skills.
Excellent organizational and time-management skills.
Knowledge of inventory management systems and procurement software.
Ability to manage multiple tasks and prioritize effectively.
Education: A degree or diploma in Supply Chain Management, Business Administration, Hospitality Management, or related field is preferred.
Language Skills: Proficiency in English is required; additional languages may be advantageous.
