General Responsibilities
–Coordinate day-to-day facility service requests, ensuring timely response and resolution to support smooth campus operations.
–Support campus readiness by coordinating space setups, logistics, and operational activities.
–Ensure accurate tracking and follow-up of all requests through the ticketing system to maintain service visibility and accountability.
–Act as the focal point for the Facilities Help Desk, managing request intake, issuing tickets, and guiding users on service processes.
–Conduct regular general inspections of campus spaces to identify issues, ensure readiness, and proactively raise service requests.
Strategic Responsibilities
–Support the implementation of structured service request processes, ensuring consistency, transparency, and efficiency in handling operational needs.
–Coordinate with relevant functions to support efficient space utilization planning, including room booking coordination.
–Ensure alignment of day-to-day coordination activities with overall FM service delivery objectives.
Operational Responsibilities
–Coordinate service requests across maintenance, campus services, and other FM functions, ensuring proper allocation and follow-up until closure.
–Manage and monitor the ticketing system, ensuring all requests are logged, tracked, updated, and closed in a timely manner.
–Coordinate room bookings and space allocation requests, ensuring alignment with academic schedules and operational priorities.
–Coordinate space setup requirements for classes, events, and operational activities, ensuring readiness in line with schedules.
–Support planning/scheduling of services, resource allocation and vendor coordination.
–Manage ID card printing, issuance, and access control coordination, ensuring proper authorization and system updates.
–Track and report on service request status, response times, and completion rates.
Industry Experience
–5 years of experience in facilities management, campus operations, or service coordination roles.
–Experience working with CAFM/ticketing systems and help desk operations for service request management.
–Exposure to room booking systems, space management, and access control coordination.
–Experience supporting maintenance, soft services, and operational activities in a campus or similar environment.
Management capabilities
–Strong coordination and organizational skills with the ability to manage multiple requests simultaneously.
–Ability to plan/prioritize service requests based on urgency and operational impact.
–Experience in managing help desk workflows, ticket tracking, and service request lifecycle.
–Ability to coordinate space utilization, room bookings, and resource scheduling effective
–Experience in coordinating with vendors and cross-functional teams to ensure timely service delivery.
–Good understanding of service delivery processes and operational workflows.

–Strong communication and stakeholder coordination skills.
–User-focused mindset with the ability to manage user expectations effectively.
–Attention to detail, particularly in data entry, tracking, inspections, and reporting.
