Key Responsibilities

Executive Support

· Provide comprehensive administrative support to members of the Executive Leadership Team, including calendar management, meeting coordination, and travel logistics.

· Prepare high-quality briefing documents, correspondence, reports, and presentations.

· Act as the main point of contact for internal and external stakeholders engaging with the ELT.

· Maintain confidentiality in handling sensitive business matters and communications.

Office Management & Facilities

· Oversee the day-to-day operations of the executive office, ensuring a professional, efficient, and welcoming environment.

· Manage space planning for optimal use of office areas, including allocation of workspaces, meeting rooms, and executive offices.

· Lead soft facilities management, including vendor coordination (cleaning, catering, office supplies, reception, and maintenance).

· Liaise with building management on office infrastructure, health and safety, and service-level issues.

· Coordinate office equipment, supplies, and services to ensure uninterrupted operations.

· Support planning and execution of office moves, reconfigurations, and space optimization projects.

Project & Event Coordination

· Support ad hoc executive-level projects, internal events, and senior leadership meetings.

· Coordinate high-level visits and leadership team offsites.

Qualifications

· 5+ years of experience in a similar Executive Assistant / Office Manager role supporting C-level executives, preferably within a multinational or fast-paced environment.

· Strong understanding of office operations, facilities coordination, and workspace management.

· Currently residing and working in the UAE, with full-time availability in Abu Dhabi.

· Excellent written and verbal communication skills in English.

· High proficiency in Microsoft Office and office productivity tools.

· Professional demeanor, discretion, and organizational savvy.
