General Purpose
We are looking for a highly professional and resourceful Executive Assistant to support the Vice President and Executive Director of Facilities & Engineering. This role provides critical administrative and executive support, acting as a central coordination point for senior leadership, interdepartmental communication, calendar and travel management, and document control. The ideal candidate is discreet, polished, and thrives in a dynamic, multinational environment with high expectations of confidentiality and efficiency.
Daily Operations
Provide full executive support including diary management, call screening, correspondence handling, and document preparation.
Manage meeting agendas, minutes, follow-ups, and calendar invites for internal and external engagements.
Maintain organized filing systems for reports, letters, compliance documents, and departmental communications.
Prepare presentations, reports, and briefing materials with a high standard of formatting and accuracy.
Coordinate travel bookings, visa arrangements, and itineraries for senior department heads and management.
Act as liaison between the executive office and stakeholders including contractors, resort leadership, and staff.
Oversee office administration including desk allocations, supply coordination, and internal team communications.

Competencies and Requirements
Experience
Minimum 3 years’ experience in a senior administrative or executive assistant role, ideally within hospitality, real estate, or large corporate environments.
Education
Bachelor’s degree or equivalent administrative qualification with formal PA/EA training preferred.
Language Skills
Fluent in spoken and written English; additional languages a plus.
Technology Skills
Proficient in Microsoft Office (Word, Excel, PowerPoint, Visio) and digital collaboration tools (e.g., SharePoint, Teams).
Experience with expense management tools and executive calendar platforms preferred.
