The Executive Assistant will provide comprehensive administrative and organizational support to senior management, ensuring efficient coordination of schedules, communications, meetings, and business activities. The role requires strong organizational skills, attention to detail, professionalism, and the ability to manage confidential information while supporting the smooth execution of executive priorities.
Key Responsibilities
Executive Support & Calendar Management
- Manage executive calendars, appointments, meetings, and travel schedules.
- Coordinate internal and external meetings while ensuring effective time management and prioritization.
- Schedule and organize meetings across multiple stakeholders and time zones where required.
- Ensure executives are well-prepared for meetings through timely coordination and briefing materials.
Communication & Stakeholder Coordination
- Serve as a key point of contact between executives and internal or external stakeholders.
- Screen, prioritize, and manage incoming calls, emails, and correspondence.
- Draft and prepare professional communications, letters, reports, and presentations.
- Maintain effective communication channels across departments and stakeholders.
Meeting Management
- Coordinate meeting logistics including venue arrangements, agendas, and supporting documents.
- Attend meetings when required and prepare accurate minutes of meetings.
- Track action items and follow up with stakeholders to ensure timely completion.
Travel & Administrative Coordination
- Arrange domestic and international travel, including flights, accommodation, transportation, visas, and itineraries.
- Process travel-related documentation and expense claims.
- Coordinate business visits, events, and executive engagements.
Documentation & Reporting
- Prepare reports, presentations, business correspondence, and management documents.
- Maintain organized filing systems, records, and confidential documentation.
- Ensure accurate record keeping and document control.
Office Administration Support
- Support day-to-day administrative operations and office coordination activities.
- Liaise with vendors, service providers, and internal departments as required.
- Assist in organizing corporate events, management meetings, and business functions.
Project & Task Coordination
- Assist in tracking key projects, deadlines, and management action plans.
- Monitor progress of assigned tasks and provide status updates to management.
- Support coordination of cross-functional initiatives and special projects.
Confidentiality & Professional Conduct
- Handle sensitive information with the highest level of confidentiality and discretion.
- Maintain professionalism when interacting with employees, clients, and external stakeholders.
- Ensure compliance with company policies and administrative procedures.
Qualifications
- Bachelor's Degree or Diploma in Business Administration, Management, or a related field.
- Fresh graduates are encouraged to apply.
- Previous internship or administrative experience will be an advantage.
- Proficiency in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.
- Excellent written and verbal communication skills in English; Arabic is an advantage.
