Role/ DepartmentUnder direct supervision responsible for providing administrative support to managers or other partners in the Asset Owner department. Will work with the Saudi Arabia management team in the smooth and efficient running of the office, the role entails engagement with internal and external stakeholders. And responsible for the delivery of the highest quality service whilst also ensuring cost efficiency wherever possible. Previous administrative supportive experience or completion of professional administrative support training is required.

The Key Responsibilities Of The Role Include

Provides administrative support to senior managers or other partners in the Asset Owner department

Composes and creates documents, spreadsheets and/or presentations

Maintains and organizes paper and the data bases files

Ensures confidentiality

Handles and confirms travel arrangements and processes travel expense reimbursements

Process invoices and manages internal process

Diary organisation and management for senior managers in the team

Supports the arrangement of internal/external meetings/training and makes necessary room bookings and associated refreshments

Helps with printing and binding of materials; internal and externally

Supports the team for help with the management of events/conferences

Works on special projects, such as gathering, inputting and compiling information for reports as required by manager or other partners in the department

May track or monitor expenses for the department

May greet or assist prospects and/or vendors

Responsible for identifying and resolving problems within established guidelines

Expected to use some initiative but refer more complex problems to supervisors/experts

Works effectively as a team member but also independently

Manages multiple pieces of work efficiently and effectively

Maintains strong relationships with our EA/PA/Admin assistants across the organisation

Support Finance and HR teams in ensuring joiners and leavers related admin activities are managed.

Skills/ Qualifications

The successful candidate will benefit from having:

Excellent technical skills on core Microsoft applications (word/excel/powerpoint)

Good oral and written communication skills are required

Basic Functional / Industry Knowledge is preferred

Analytical and problem solving skills are required

Preferably Arabic Speaking
