We are seeking a high-caliber, multilingual Executive Assistant to operate as a strategic partner to senior leadership, combining executive support with analytical thinking, systems building, and business problem-solving capabilities.
This is not a traditional EA role.
The successful candidate will function as a hybrid of:
* Executive Assistant
* Business Analyst
* Operator / Junior Chief of Staff
You will be deeply embedded in both business and personal workflows, acting as a force multiplier for executive decision-making, structuring ambiguity, and driving execution through data, systems, and proactive ownership.
The ideal candidate holds an MBA or strong analytical degree, has project management experience, and thrives in high-performance, multicultural environments.
Key Responsibilities
Executive Leverage & Administration
• Own and manage the Director’s calendar as a strategic asset, prioritizing based on ROI and impact
• Act as a gatekeeper for communications and decision flow
• Prepare and review high-level correspondence, reports, and presentations
• Handle confidential and sensitive matters with utmost discretion
• Integrate and manage both professional and personal scheduling seamlessly
Analytical & Decision Support (Key Differentiator)
• Conduct structured research on markets, companies, and investment opportunities
• Prepare:
– Briefing notes
– Business summaries
– Decision memos
• Translate complex data into clear, actionable insights
• Build simple models, frameworks, and structured outputs to support decision-making
Systems, Tools & Process Optimization
• Design, implement, and optimize workflows across:
– Email, calendar, CRM, and task management systems
• Build dashboards and trackers using:
– Notion, Excel, Airtable, or similar tools
• Utilize AI tools (e.g., ChatGPT, automation platforms) to:
– Draft communications
– Summarize data
– Accelerate research
• Identify inefficiencies and automate repetitive processes
Project & Execution Management
• Track strategic initiatives and ensure execution momentum
• Coordinate across cross-functional teams and stakeholders
• Translate ideas into structured execution plans
• Ensure timelines, deliverables, and priorities are met
Communication & Output Management
• Draft high-quality:
– Emails
– Investor communications
– Internal memos and reports
• Prepare meeting agendas, briefs, minutes, and follow-ups
• Maintain clear, concise, and executive-level communication standards
Travel, Events & Lifestyle Integration
• Manage complex international travel and logistics
• Coordinate meetings, leadership events, and executive engagements
• Handle personal matters with professionalism and confidentiality
• Align personal and business priorities across time zones
