Experience and Skills:

3–5 years of experience in an Executive Assistant, Coordinator, or similar administrative support role.

Proven experience as an Executive Assistant, Office Manager, or Coordinator role supporting senior leadership.

Strong organizational and time-management skills.

Excellent communication and interpersonal abilities.

Proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint).

Ability to multitask and prioritize effectively under pressure.

Discretion and confidentiality are essential.

Familiarity with sales processes and marketing support is a plus.

Job Responsibilities:

Executive Support:

Manage and maintain the GM and Executive advisor calendar, including scheduling, rescheduling, and blocking time for meetings and focused work.

Provide daily reminders and updates on meetings, minutes of meetings, deadlines, and key deliverables.

Ensure the GM is prepared for all meetings with agendas, relevant materials, and briefing notes and support EA as needed.

Track and follow up on delegated tasks and action items from the GM to ensure timely completion by team members.

Coordinate travel arrangements, accommodations, and itineraries for the GM & EA as needed.

Maintain confidentiality and discretion in handling sensitive or proprietary information.

Follow up with team members to track the status of tasks assigned by the GM & EA.

Serve as the main point of contact for internal and external communication on behalf of the GM and EA.

Sales, Marketing, and Operations Coordination:

Serve as the central point of coordination between the GM and Executive Advisor (EA), and cross-functional teams including Sales, Marketing, and Operations, ensuring seamless communication and alignment on priorities.

Manage and prioritize incoming requests that require GM & EA input, review, or approval

Proactively track and follow up on all Sales, Marketing, and Operations initiatives involving the GM to ensure timely execution, accountability, and resolution.

Maintain a dynamic tracker of ongoing projects, initiatives, and approvals across all departments, highlighting deadlines, dependencies, and decision points for leadership.

Liaise with Operations to escalate and resolve issues impacting service delivery, customer experience, or business continuity, keeping the GM informed of critical updates and decisions.

Maintain a tracker for ongoing Sales & Marketing initiatives requiring GM involvement.

Support preparation of executive-level reports, presentations to facilitate strategic discussions and planning sessions across Sales, Marketing, and Operations.

Ensure consistency and clarity in internal communication across departments, helping drive alignment on company-wide priorities and initiatives.

Administrative Coordination:

Organize and support internal and cross-functional meetings, including preparing meeting minutes and ensuring timely follow-up on action items.

Coordinate special projects or initiatives at the request of the GM and EA.

Maintain documentation and filing systems for easy retrieval and confidentiality.

Qualification:

Bachelor’s Degree in Business Administration, Marketing, or a related field. (MBA is a plus).

Experience in a fast-paced environment.

Knowledge of CRM tools is an asset.
