Job Title: Events Coordinator

Job Purpose

The Events Coordinator is responsible for coordinating and supporting the planning, organization, and execution of events, weddings, banquets, conferences, and other functions held at the hotel. The role ensures that client requirements are clearly understood and communicated to all relevant departments, and that each event is delivered professionally, efficiently, and in accordance with the hotel’s standards and agreed client requirements.

Key Responsibilities

  • Receive and respond to client inquiries regarding events, functions, meeting rooms, banquet halls, packages, and available services.
  • Understand client requirements and coordinate all event details, including date, number of guests, event type, venue, setup, catering, entertainment, and additional services.
  • Coordinate with the Sales and Marketing team to prepare quotations, proposals, packages, and event-related documentation.
  • Manage and coordinate event bookings and ensure the availability of the required venue and facilities.
  • Prepare, update, and distribute Banquet Event Orders (BEOs) or event function sheets to all concerned departments.
  • Coordinate with Food & Beverage, Kitchen, Housekeeping, Engineering, Front Office, Security, and other relevant departments to ensure event readiness.
  • Follow up on the preparation of event venues, including tables, chairs, decorations, lighting, sound systems, screens, and other required equipment.
  • Ensure that all client requirements and agreed services are delivered accurately and on time.
  • Welcome clients and event organizers before and during the event and act as the main coordination point for their operational requirements.
  • Monitor the progress of events and ensure that the agreed schedule, service standards, and operational requirements are followed.
  • Coordinate with the Food & Beverage and Kitchen teams regarding menus, meal timings, guest numbers, special requests, and dietary requirements.
  • Follow up on additional services or requirements requested by clients during the event and ensure proper approval according to hotel procedures.
  • Coordinate with approved external suppliers and service providers when required and in accordance with the hotel’s policies.
  • Maintain accurate records of event bookings, client requirements, quotations, BEOs, and other relevant documentation.
  • Coordinate with the Finance and Sales teams regarding billing, deposits, outstanding payments, and additional charges.
  • Conduct post-event follow-up with clients to obtain feedback and assess their level of satisfaction.
  • Handle client complaints and event-related concerns professionally and coordinate with the concerned departments to ensure timely resolution.
  • Support the achievement of the hotel’s events and banquet revenue targets.
  • Follow up on potential clients and event leads and coordinate with the Sales team to convert inquiries into confirmed bookings.
  • Ensure full compliance with Ewaa Hotels Group policies, procedures, service standards, safety requirements, and brand standards.

Qualifications & Experience

  • Diploma or Bachelor’s degree in Hospitality Management, Hotel Management, Event Management, Business Administration, Marketing, or a related field.
  • 2–3 years of relevant experience in event coordination, banquet operations, or hotel events.
  • Previous experience in a hotel, banquet facility, conference center, or hospitality environment is preferred.
  • Strong experience in coordinating events, weddings, conferences, and corporate functions is an advantage.

  • Ability to work flexible hours, including evenings, weekends, and public holidays when required.

Pay: ﷼5,000.00 – ﷼7,000.00 per month
