Job Summary:

Join our dynamic team in Dubai as an Office Team Member, where you will play a crucial role in ensuring the smooth operation of our group companies. This vital support function requires a proactive and accountable individual who can manage a diverse range of responsibilities, from visa and license processing to insurance management and banking assistance. Salary:  

AED   Basic Salary – AED 2500/- Basic Salary 

AED  Travel Allowance – 20% of Basic Salary

AED  Phone Allowance – 5% of Basic Salary

AED Gain Share [approximately, varies with performance] and Other performance allowances and awards as per company norms.

Key Responsibilities:

  • Manage all company insurances, including health insurance, ensuring timely renewals and adherence to deadlines to avoid penalties.
  • Oversee the visa application and renewal process for employees, both for UAE residency and international travel.
  • Manage new and renewal applications for facility licenses, ensuring compliance with all regulatory requirements.
  • Monitor and updates on medical insurance, vehicle insurance, office renewals, other insurance etc
  • Represent the company in government offices, Banks and other authorities if required and ensure timely submission of all documents.
  • Provide prompt and efficient assistance with banking and related tasks, including troubleshooting issues and facilitating necessary transactions.
  • Ensure strict adherence to all compliance requirements related to insurance, visas, licenses, and banking activities, maintaining accurate records and documentation.
  • Directly handle all aspects of applications and paperwork related to the above responsibilities.
  • Analyze data to identify cost-saving opportunities in insurance renewals, visa application requirements to ensure compliance, and evaluate suppliers to find the most effective ones.

Daily Activities:

A typical day for this team member will involve a mix of tasks, including responding to emails and phone calls, conducting research, and visiting banks or licensing authorities as needed. You will regularly use various software and online platforms, including government and licensing portals, Habot portals, Google Drive. Adherence to security norms for in-house and external portals is essential. The balance between individual and collaborative work will vary, with individual tasks occupying approximately 60% of your time.

About the Team:

You will be part of a team of 4-10 members, reporting to a Team Leader. Our company, with a current strength of around 45 employees, fosters a collaborative and fast-paced culture that emphasizes continuous improvement and automation. We have a strong track record of internal automation, having automated approximately 100 out of 130 processes in the past 12 months. We are currently implementing a Sun Tzu-based strategy process, and your understanding and implementation of company values, leadership principles, strategy, and business processes will be expected. You will find your colleagues and seniors supportive, provided you demonstrate responsibility for your actions and work.

Basic Qualifications:

  • Bachelor's degree in any field.
  • A minimum of 1 year [and a maximum of 2 years] of administrative role experience in the UAE. Experience in insurance, visa processing, licensing, or banking is a plus.
  • Fluency in written and spoken English is essential. Knowledge of any Indian language is beneficial.
  • Strong analytical skills, with the ability to analyze data, identify cost-saving opportunities, and ensure compliance.
  • Proficiency in using computers and various software applications, including government portals, online databases, and standard office software.
  • Excellent communication skills, both written and verbal.
  • Ability to learn quickly, be resourceful, polite, and maintain a positive and professional demeanor.
