Title: Document Controller

Key Job Responsibilities:
- Attend client meetings and assist in determining project requirements.
- Develop and maintain detailed project schedules, including administrative tasks for all project sites.
- Communicate relevant projects information accurately to the client and project team.
- Maintain contract execution tracking logs.
- Arrange site requirements.
- Submit submittals, project documentation, and invoices as required.
- Ensure compliance with quality, customer service, health, and safety standards.
- Manage the full lifecycle of project documents, ensuring all documents are controlled, traceable, and properly archived.
- Establish and maintain project folder structures as per requirements
- Implement and maintain a robust document control system according to project and company procedures.
- Ensure all documents are properly classified, indexed, and quickly retrievable.
- Ensure effective communication of all document‑related information to stakeholders.
- Maintain the Master Document Register (MDR) / Vendor Print Index & Schedule (VPIS) and other tracking logs for document status, revisions, and transmittals.
- Conduct regular audits of the document control system to ensure compliance and identify improvements.
- Implement QC checklists for outgoing documents to prevent rejections due to non‑compliance.
- Stay updated on the latest clients’ engineering procedures and document control standards.
- Ensure confidentiality and security of all projects documentation.
- Collaborate with project teams, engineers, and vendors to ensure timely document submissions and approvals.
- Support the preparation and formatting of project documents, reports, and presentations.
