Answer incoming calls from customers for various purposes, answer inquiries and questions, handle complaints, troubleshoot problems, and provide information.
Duties & Responsibilities
Answer calls and route calls to appropriate resource
Handle patient inquiries telephonically and convert inquiries to emails according to SOPs; send to relevant department if no answer after two transfers
Research required information using available resources
Manage and resolve patient complaints and transfer to qualified personnel
Provide customers with service information and hospital policy
Update the business connect with new staff numbers and names
Identify and escalate priority issues
Follow up on patient calls when necessary
Transfer calls internally between healthcare staff (e.g., on-call doctor, blood bank, radiology)
Stay updated with hospital memos/circulars and call center updates
Care for entrusted tools (e.g., computer, headset), used for official purposes only
Assist patients with appointment queries
Book, cancel, or reschedule appointments per OPD policy
Handle online appointment bookings via website
Gather patient details for urgent appointments and coordinate with OPD for overbooking or walk-ins
Manage appointments for all OPD procedures and ER referrals
Handle patient complaints related to appointments and escalate appropriately
Respond to inquiries and requests, routing to relevant departments
Explain services and hospital policies to patients
Manage patient complaints and communicate with PRO office
Update hospital management system with changes in clinic timings
Perform other related tasks as assigned
Education and Experience
Bachelor’s Degree or equivalent
Proficient in relevant computer applications
Fluent in Arabic and English
Knowledge of customer service principles and practices
Knowledge of call center telephony and technology
Experience in a call center or customer service environment
Good data entry and typing skills
Knowledge of administrative and clerical processes
