Position: Coordinator – Service Support  )

Coordinator – Service Support (Al Ain/Dubai)

Summary : To efficiently oversee service requests, coordinate with engineers and suppliers, manage inventory, and support operational excellence within the service department.

Job Responsibility :

Prepare and manage email correspondence and other written communications with Customers.

Receive, document, and assign service calls and issue service notifications to Engineers and Line Managers.

Generate and distribute the Planned Preventive Maintenance (PPM) schedule and task to Engineers/ Line Manager and Update the system.

Coordinate internal meetings and public relations activities.

Organize and schedule technical training sessions, coordinate, and issue certificates to participants. Maintain comprehensive records of service training.

Prepare spare parts purchase orders, Update, and communicate parts pricing and replacement information. Liaise for both foreign and local suppliers regarding orders and shipments.

Manage payment requisitions and credit notes for service Clients and vendors. Verify and process invoices. Distribute Modification Notes and Service Documentation.

Prepare quotations, Prepare, and manage sub-contract agreements, assist with tender preparations in technical and commercial evaluations.

Maintaining service contracts and agreements.

Prepare and deliver various reports, including weekly pending Service reports, monthly work order summaries, consolidated PM reports, response, and repair time metrics (MTTRs), Key Performance Indicators (KPIs), quarterly reviews and budget plans for the service department.

Address customer inquiries related to after-sales service.

Prepare documentation and procedures for accreditation.

Assist with cost assessments for equipment and subcontracts.

Track and manage spare parts requests and store inventory, including the requisition, issuance, and dispatch of spare parts. Monitor and maintain safety stock levels and establish order points.

Maintain a tidy, well-organized, and systematic work environment, including scanning, photocopying, and organizing files.

Any additional tasks or responsibilities related to the role may be requested by the line manager as required.

Qualification and Skillset :

Diploma in biomedical engineering / Biomedical Technology, or a related field (bachelor’s degree preferred)

1 to 3 years of relevant Experience in administrative and technical coordination role.
