Tendering and Administrative Coordinator

Purpose:

The Tendering and Administrative Coordinator will be responsible for planning, organizing, coordinating and controlling general departmental administrative and tendering activities as directed by the Senior Contracts Specialist.

Main Responsibilities & Tasks:

Assist the Senior Contracts Specialist in preparing tender documents, arranging site visits and issuing bulletins during the tendering stage.

Ensure that the tendering process is carried out in accordance with approved policies and procedures.

Prepare commercial bid reports and clarifications.

Ensure accurate loading of contract particulars into the ERP system for approval, including the signing of Blanket Purchase Agreements by contractors and their timely handover to end users.

Expedite suppliers and end-users to ensure the prompt receipt of information in line with procurement procedures.

Analyse end-user needs to identify repetitive orders and recommend potential Blanket Purchase Agreements.

Monitor the expiry of existing contracts and Blanket Purchase Agreements to facilitate timely re-tendering and mobilization for new engagements.

Process variation requests to existing contracts and Blanket Purchase Agreements in accordance with Procurement Directorate procedures.

Ensure consistency of procurement activities with approved tenders and contract procedural requirements.

Minimum Required Qualifications, Certificates & Skills:

Bachelor’s degree in Business Administration.

At least 3 years’ experience in a similar field.
