As a Communication Coordinator, you will play a pivotal role in bridging the gap between clients and the internal design department. Your primary objective will be to ensure smooth communication, accurately capture initial client requirements, and manage all administrative and financial documentation digitally to alleviate the burden on designers and guarantee a professional experience for clients.Key Responsibilities:
- Client Management and Coordination: Receive requests and inquiries from new clients through digital channels.
- Understand initial client requirements based on foundational design principles to facilitate idea transfer.
- Explain the workflow and standard procedures to new clients.
- Internal Coordination with the team: Ensure clear communication of tasks between clients and designers.
- Monitor project progress to ensure adherence to timelines.
- Organize virtual meetings and coordinate schedules between clients and the team.
- Administrative Tasks: Prepare and send price quotes, contracts, and invoices electronically.
- Organize and archive all project files, contracts, and correspondence in the cloud-based system used by the company (e.g., Google Drive).
- Track electronic signatures and payment status with clients.
- Performance Metrics (KPIs): Response time to clients, accuracy of submitted documents (contracts, invoices), and minimizing administrative reviews on the design department.
- Client satisfaction regarding the quality and speed of communication.
