Job Title: Class Coordinator

Reports to: CEO
Job Summary:
We are seeking an enthusiastic, detail-oriented, and highly organized Class Coordinator to join our coaching institution. The Class Coordinator will play a critical role in ensuring the smooth functioning of academic programs, supporting students and faculty, and maintaining effective communication. The role requires a mix of administrative skills, strong interpersonal communication, and a passion for fostering an optimal learning environment.
Key Responsibilities:
1. Class and Schedule Management:
Scheduling Classes: Coordinate and finalize class schedules, ensuring no overlap and adequate preparation time for instructors.
Timetable Management: Distribute and communicate timetables to both faculty and students in a timely manner. Update schedules in case of cancellations or rescheduling.
Room Allocation: Ensure that classrooms are properly assigned and equipped with the necessary resources for the courses.
2. Student Support and Engagement:
Student Enrollment: Manage the student registration process, including handling inquiries, providing guidance on course selection, and ensuring a smooth enrollment process.
Attendance Management: Track student attendance and ensure that attendance records are maintained and updated regularly.
Class Communication: Serve as the main point of contact for students, handling class-related queries, concerns, and requests.
Student Counseling: Provide guidance and counseling to students about academic performance, help resolve issues, and facilitate communication between students and faculty.
3. Faculty Coordination and Support:
Instructor Liaison: Act as the liaison between instructors and students, facilitating communication regarding course materials, assignments, and feedback.
Classroom Assistance: Assist faculty members in preparing for classes by ensuring necessary equipment and materials are available (e.g., presentation tools, course materials, etc.).
Faculty Feedback: Gather feedback from instructors on course delivery, class dynamics, and student progress, and communicate these insights to management.
4. Academic and Administrative Assistance:
Grading and Assessments: Assist instructors in administering and grading tests and assignments. Ensure timely communication of results to students.
Record Maintenance: Keep accurate records of student performance, attendance, and other key academic milestones.
Test Coordination: Coordinate exam schedules, assist in setting up test rooms, and oversee smooth execution of assessments.
5. Event and Workshop Coordination:
Workshops & Seminars: Plan, organize, and manage additional academic or career workshops, guest lectures, and other extracurricular academic events.
Exams and Mock Tests: Coordinate mock tests, practice exams, and other assessments outside of regular class hours to aid student preparation.
Student Engagement: Organize student engagement events to foster a sense of community within the institution.
6. Communication and Reporting:
Internal Communication: Serve as a central point for internal communication between students, faculty, and management, ensuring information flows smoothly.
Student Feedback: Collect and analyze student feedback on courses and instructors to help improve the learning experience.
Reports and Documentation: Maintain detailed reports on student attendance, performance, and feedback. Prepare regular updates and reports for management.
7. System Management and Technology Integration:
Learning Platforms: Oversee the integration and use of any online learning management systems (LMS) or student portals, ensuring all students have access to digital learning resources.
Tech Assistance: Troubleshoot and assist with any technological issues that arise within classrooms (e.g., projector issues, online tools).
8. General Administrative Tasks:
Course Materials: Help organize and distribute study materials, resources, and course handouts.
Classroom Setup: Ensure classrooms are prepared before classes start, ensuring all materials and technical equipment are in place.
Inventory Management: Maintain and manage inventory of classroom supplies, books, and other materials needed for teaching.
Required Qualifications:
Educational Qualification: Bachelor’s degree in any field (preferably in education, management, or a related field). A Master’s degree would be a plus.
Experience: Prior experience in a similar role within an educational institution or coaching center is highly preferred.
Communication Skills: Exceptional written and verbal communication skills are essential for effective communication with students, faculty, and parents.
Tech-Savvy: Comfortable using learning management systems (LMS), basic office software (MS Word, Excel, PowerPoint), and other educational tools.
Multitasking: Strong organizational skills, with the ability to manage multiple tasks and prioritize effectively.
Problem-Solving: Ability to address concerns, resolve conflicts, and find solutions in a timely manner.
