Position Overview:
As the Real Estate Operations & Office Admin, you will play a key role in overseeing day-to-day office operations, managing CRM systems, and ensuring smooth and efficient real estate processes. If you have at least 2 years of experience in real estate operations, are highly organized, and have experience working within the Dubai market, we want to hear from you!
Key Responsibilities:
Operational Management: Oversee and streamline daily office operations, ensuring all processes are running smoothly, efficiently, and in line with company standards.
CRM & Listing Management: Manage and update property listings in our CRM systems (PFExpert, Bayut Profolio). Oversee the management of listings on various property portals (Property Finder, Bayut, Dubizzle), ensuring accuracy and optimization for visibility.
Portal Management: Set listings as Featured & Premium on Property Finder, Hot & Signature on Bayut, and manage other platform requirements, including listing quality and portal compliance.
Compliance & Documentation: Handle listing permits through Trakheesi, manage RERA card renewals, and ensure all required documentation is in place, such as Contract A, B, F, Form I, NDA, LOI, etc.
Recruitment Operations: Support the recruitment process by developing operational strategies to attract top talent. Manage recruitment tools, job postings, and the initial stages of candidate engagement.
Onboarding & Employee Records: Oversee the smooth onboarding process for new hires, maintain employee records, and ensure compliance with UAE hiring laws and company policies.
Transaction Support: Collect and organize necessary documents from agents for completed rental and sale transactions. Facilitate smooth communication between buyers, sellers, and agents to ensure seamless transaction processes.
Internal Operations & Communication: Handle internal communication and assist with organizing and scheduling meetings. Respond to inquiries from potential buyers, sellers, and agents through phone, email, WhatsApp, and website.
Training & Compliance Programs: Assist in creating and implementing training programs to ensure compliance with internal processes and local regulations.
Qualifications:
Bachelor’s degree in Business Administration, Operations Management, or a related field.
Proven experience in real estate operations, ideally within the UAE real estate sector.
At least 2 years of experience in an administrative or operational role in real estate, with prior experience in Dubai required.
Familiarity with CRM systems such as PFExpert, Bayut Profolio, Property Finder Manager, and Dubizzle is a plus.
Knowledge of Trakheesi and the Dubai REST app is an advantage.
Strong organizational skills, with a meticulous attention to detail.
Excellent communication skills and the ability to handle inquiries from various platforms.
High level of professionalism and the ability to work effectively both independently and within a team.
