Position: Boarding Officer / Boarding Agent ( Kindly apply at [email protected] )
Job Purpose
To represent the Company during vessel port calls by attending vessels, coordinating all port and government formalities, ensuring compliance with regulatory requirements, supporting vessel operations, and delivering efficient agency services in accordance with Company SOPs and customer requirements.
Key Responsibilities
1. Vessel Operations
- Attend and board vessels as assigned in accordance with Company SOPs and customer requirements.
- Coordinate all inward and outward vessel clearance formalities, including Customs, Immigration, Port Health, Quarantine, and Port Authority requirements.
- Collect, verify, process, and submit all vessel documentation throughout the port call.
- Conduct vessel visits to ensure all husbandry, operational, cargo, and crew requirements are properly attended.
- Liaise with the Master, terminal representatives, port authorities, customers, and other stakeholders to ensure smooth vessel operations.
- Report vessel arrival, berthing, cargo operations, commencement/completion of work, sailing times, delays, and other operational updates, including after office hours when required.
2. Customs & Immigration
- Handle Customs and Immigration formalities for crew members, spare parts, courier shipments, cash to master, stores, and other vessel-related requirements.
- Arrange crew sign-on/sign-off formalities, shore passes, gate passes, and other crew movement requirements.
- Translate crew lists and immigration-related documents into Arabic, where required, to facilitate Immigration clearance.
- Liaise with government authorities to ensure timely completion of all statutory formalities.
3. Cargo & Husbandry Coordination
- Ensure cargo-related requirements are clearly understood and communicated to the Operations Manager and relevant stakeholders.
- Coordinate husbandry services, including crew changes, medical assistance, transportation, hotel bookings, spare deliveries, bunker attendance, and other vessel requirements.
- Assist with transportation arrangements for Masters, crew members, VIPs, surveyors, inspectors, and visitors as instructed.
4. Operational Reporting & Administration
- Ensure mandatory use of Company IT systems and operational tools in accordance with established SOPs.
- Maintain accurate records of vessel calls and operational activities.
- Monitor, report, and track operational costs related to each vessel call and provide recommendations for operational efficiency.
- Ensure company mobile phones hired to vessels are acknowledged by the Master and collected prior to vessel departure.
- Maintain accurate, timely, and professional communication with customers, principals, port authorities, vessel personnel, suppliers, and internal departments.
- Report business opportunities, customer feedback, operational risks, and relevant port developments to the Operations Manager.
Qualifications & Experience
- Diploma or Bachelor’s Degree in Maritime Studies, Shipping, Logistics, Business Administration, or a related discipline.
- Minimum 2–3 years’ experience in ship agency, vessel operations, port operations, or maritime logistics within the UAE.
- Experience dealing with Customs, Immigration, Port Authorities, and other government entities.
- Basic Arabic language skills to translate crew lists and communicate with Immigration authorities.
- Valid UAE Driving Licence (Mandatory).
- Must be eligible to obtain UAE CID Port Security Clearance. The Company will arrange the required CID Port Security Clearance prior to onboarding, subject to approval by the relevant authorities.
Knowledge & Skills
- Strong knowledge of UAE port procedures and vessel agency operations.
- Understanding of vessel husbandry, cargo operations, and port documentation.
- Knowledge of Customs, Immigration, and Port Authority regulations.
- Excellent communication and interpersonal skills.
- Strong organizational, coordination, and time management skills.
- Ability to work independently with minimal supervision.
- Ability to work under pressure and manage multiple vessel calls simultaneously.
- Willingness to work flexible hours, weekends, public holidays, and after office hours based on vessel schedules.
- Proficient in Microsoft Office applications and shipping/agency management systems.
- High level of accuracy, professionalism, and customer service orientation.
