Position Overview:

The Bid Writer will be responsible for managing and writing high-quality bids and proposals for facilities management contracts. This individual will work closely with the sales, operations, and technical teams to gather information, understand client requirements, and produce tailored responses that highlight our company’s strengths, capabilities, and value proposition.

Key Responsibilities:

Bid Writing & Proposal Development:

Take ownership of writing, editing, and submitting bids and proposals for facilities management projects, ensuring they are clear, compelling, and tailored to meet client needs and specifications. Present our solutions in a persuasive and professional manner to stand out in competitive tender processes.

Collaboration with Teams:

Work closely with sales, operations, and technical teams to gather all necessary information, including pricing, scope of services, and technical details. Ensure alignment with client requirements and organizational capabilities in the proposal response.

Content Creation & Management:

Develop high-quality content for proposals, including executive summaries, technical responses, service descriptions, and case studies. Maintain a library of proposal templates, standard answers, and supporting documentation for efficient use in future bids.

Compliance & Submission:

Ensure that all bids are compliant with client specifications and tender instructions. Prepare all necessary documentation for submission, including compliance checks, certifications, and legal documentation.

Proposal Strategy & Customization:

Analyze client requirements and design customized proposals that reflect the unique needs of each opportunity. Provide strategic input to enhance the company’s competitiveness and value proposition in bids.

Timeline Management:

Manage the bid writing process, ensuring all deadlines are met. Coordinate with internal teams to ensure all elements of the proposal are submitted on time and to a high standard.

Post-Submission Support:

Assist with post-submission clarification requests and presentations. Collaborate with the business development and operations teams to ensure a smooth transition from bid submission to project kick-off if the bid is successful.

Continuous Improvement:

Participate in bid debriefs, capturing feedback to continuously improve bid writing processes and proposal quality. Keep up-to-date with industry trends, best practices, and emerging opportunities in the facilities management sector.

Required Skills and Qualifications:

Bachelor’s degree in Business, English, Communications, Facilities Management, or a related field.

3+ years of experience in bid writing, proposal development, or related roles, preferably within the facilities management, construction, or service industries.

Strong writing, editing, and proofreading skills, with an ability to write clearly and persuasively.

Ability to understand complex technical and service delivery information and translate it into clear, client-friendly language.
