The Fleet Assistant Supervisor is responsible for planning, coordinating, and supervising all preventive and corrective maintenance activities for the company's fleet. The role ensures maximum vehicle availability, compliance with safety and regulatory requirements, cost control, and efficient management of external service providers.

Key Responsibilities:

Fleet Maintenance

  • Develop and implement preventive maintenance schedules for all fleet vehicles and equipment.
  • Monitor vehicle health and ensure timely servicing to minimize breakdowns and downtime.
  • Coordinate corrective maintenance and emergency repairs.
  • Ensure all repairs meet manufacturer specifications and company standards.
  • Conduct regular vehicle inspections and identify maintenance requirements.

Vendor Management

  • Coordinate with external workshops/Garages and service providers.
  • Negotiate repair quotations and monitor service quality.
  • Evaluate vendor performance/SLA and recommend improvements.
  • Ensure warranty claims are processed where applicable.

Fleet Performance Monitoring

  • Track vehicle downtime, repair frequency, and maintenance costs.
  • Analyze recurring mechanical issues and implement corrective actions.
  • Monitor fuel efficiency and identify maintenance-related inefficiencies.
  • Prepare maintenance reports and performance dashboards.

Compliance & Safety

  • Ensure all vehicles comply with roadworthiness, safety, and legal regulations.
  • Maintain valid registrations, inspections, permits, and insurance records.
  • Ensure compliance with company Health, Safety, and Environmental (HSE) policies.
  • Investigate vehicle failures and maintenance-related incidents.

Budget & Cost Control

  • Monitor maintenance expenditure against budget.
  • Identify cost-saving opportunities without compromising safety or quality.
  • Review repair invoices and verify work completion before payment approval.

Documentation & Reporting

  • Maintain complete maintenance history for each vehicle.
  • Prepare weekly and monthly maintenance reports.
  • Prepare and track fuel consumption and mileage of each vehicle.
  • Track fleet KPIs, including: Vehicle availability, Vehicle Mileage/Per KM, Fleet utilization, Breakdown frequency. Preventive maintenance compliance, Maintenance cost per kilometer & Per Vehicle, Vehicle downtime, Garage Productivity, Garage TAT monitoring report.

Qualifications

  • Diploma or Bachelor's degree in Mechanical Engineering, Automotive Engineering, or a related field.
  • Professional certifications in fleet or automotive maintenance are an advantage.

Skills and Experience

  • 5–8 years of experience in fleet maintenance or workshop operations.
  • At least 2 years of supervisory experience.
  • Experience managing commercial vehicles such as trucks, vans, trailers.
  • Experience working with transport management systems or fleet management software is preferred.
  • Strong knowledge of diesel and petrol vehicle maintenance.
  • Understanding of preventive and predictive maintenance practices.
  • Familiarity with fleet management systems and maintenance software.
  • Good knowledge of workshop operations and spare parts management.
  • Strong analytical and problem-solving skills.
  • Proficiency in Microsoft Excel and reporting tools.
