Job Overview:
We are looking for a proactive and detail-oriented Admin Executive to manage administrative tasks, compliance processes, business setup procedures, and PRO coordination. The ideal candidate will play a key role in ensuring smooth office operations and supporting our clients with regulatory requirements, including updates on the FTA portal.
Key Responsibilities:
Administrative Support: Handle day-to-day office administration, documentation, scheduling, and correspondence.
Compliance & Business Setup: Assist in managing the company formation and business setup process, including liaising with government authorities.
PRO Coordination: Work closely with PROs to facilitate visa processing, license renewals, and government-related documentation for clients.
FTA Portal Management: Manage client tax registrations, and updates on the Federal Tax Authority (FTA) portal.
Documentation & Record-Keeping: Ensure all company records, compliance documents, and client files are well-organized and up-to-date.
Client Coordination: Communicate with clients to provide updates on compliance requirements, business setup progress, and documentation needs.
Renewals & Approvals: Monitor and process renewals for trade licenses, visas, and other regulatory permits.
Banking Assistance: Support clients in opening business bank accounts and fulfilling KYC requirements.
Office Operations: Assist in procurement, supplier coordination, and general office management.
Internal Support: Work closely with the accounts and tax teams to ensure compliance-related tasks are handled efficiently.
Key Requirements:
Experience: Minimum 2–4 years of experience in an administrative, compliance, or business setup role in the UAE.
Education: Bachelor’s degree in Business Administration, Finance, or a related field.
Skills: Strong organizational and multitasking skills.
Familiarity with UAE government portals (e.g., FTA, DED, MOHRE, GDRFA, and free zone authorities).
Excellent written and verbal communication skills.
Knowledge of UAE business setup procedures and compliance regulations.
Proficiency in Microsoft Office (Word, Excel, PowerPoint).
Attention to detail and problem-solving abilities.
Fluency in English; Arabic is a plus.
