About
The Role
We are seeking a proactive and professional Administrative Assistant / Receptionist to support our growing Riyadh team. As the first point of contact for our office, you will manage the reception area while providing critical secretarial support to the local team and working with the administrative manager. This role is pivotal in ensuring smooth daily operations as we scale 50+ employees and transition to our permanent headquarters.

Key Responsibilities Will Include
- Front Desk:
Serve as the “face” of the company; greet visitors, clients, and candidates with professionalism consistent with our global standards. - Switchboard:
Manage incoming calls, screen inquiries, and route them to the appropriate team members. - Courier & Deliveries:
Manage all incoming/outgoing mail and courier packages (DHL, Fed Ex, etc.), ensuring timely distribution. - Hospitality:
Ensure the reception area, meeting rooms, and pantry are tidy and fully stocked for guests and meetings. - Scheduling:
Assist with meeting coordination and calendar management for the wider leadership team as needed. - Travel Logistics:
Assist in booking flights, hotels, and transportation for team members and visiting global executives. - Documentation:
Handle data entry, filing, and preparing expense reports. - Translation:
Assist with basic English/Arabic translation for local vendor communications or government forms (if applicable). - Onboarding Support:
Assist the Administrator Manager in setting up desks, access cards, and welcome packs for new hires. - Event Support:
Assist in organizing internal team events, lunches, and offsites. - Business Continuity:
Act as the primary backup for the Administrator Manager during leave or absence to ensure operational continuity.
What are we looking for
- Experience:
2+ years of experience in an administrative or receptionist role, preferably within a multinational or global company.
- Language
Skills:
Fluent in English and Arabic (written and spoken) is essential for dealing with local vendors and global internal teams.
- Tech Savvy:
Proficient in Microsoft Office (Outlook, Excel, Word). - Soft Skills:
- Excellent organizational and time‑management skills.
- Ability to multitask in a fast‑paced environment.
