Role Purpose (overall high level summary of the role)
The role holder is responsible for assisting the Department/Unit Heads in the efficient management of administrative services of the Bank, such as the day-to-day management of facilities, and mail processing, etc.
Principal Accountabilities:

Impact on the Business
- Supervise and oversee duties of the administrative staff, coordinate staff for coverage in all related areas of the Department/Unit.
- Implement and assume responsibility for adherence to entity's policies and procedures.
- Administer and monitor the financial system in order to ensure that the Bank finances are maintained in an accurate and timely manner.
- Reconcile the general ledger, bank statements, accounts payable/receivables and weekly deposits.
- Support the Department/Investment Banking Co-Heads Management teams to meet their targets.
- Ensure all client records are kept up-to-date and all standing orders of HSBC SA are carried out and completed in a correct and timely manner.
- Complete essential Bank transactions for clients, including internal transfers, payments and drafts.
- Ensure all bank service level agreements are met with; deliver a quality service to all clients at all time.
- Manage and handle all clients enquiries to a high level of accuracy and quality; resolve all issues in an efficient and timely manner.
- Support and assist during non-planned absences of team mates and during peak hours at the Bank counters and client facing tables.
- Scan, read and disseminate all daily correspondence for a number of different clients and internal managers.
- Prepare income statements and balance sheets.
- Ensure transactions are properly recorded and entered into the accounting systems
Customers / Stakeholders
- Assist Departments/Investment Banking Co-Heads for leveraging support to coordinate administrative and service related tasks.
- Provide support to all Department and employees for identifying requirements and facilitate employee requests.
Qualifications / Experience
Qualifications:
- Bachelor’s degree in Business Administration or any related field is preferred.
Experience:
- 1-3 years of relevant work experience in a similar role
- Experience in the banking sector within the region with a strong focus on Administration is preferred.
