Job Description

We are seeking an organized, proactive, and detail-oriented Administrative Assistant to support our daily business operations and coordination. In this role, you will work closely with our sales, logistics, and management teams to streamline administrative workflows, process client orders, and support daily corporate activities.

Key Responsibilities

  • Office & Operational Support: Manage daily front-office activities and general documentation filing (physical and digital).
  • Document & Data Management: Prepare sales invoices, client statements, delivery notes, and official business correspondence using office/ERP systems (e.g., Zoho Books/Inventory, MS Excel).
  • Vendor Communication: Serve as the primary point of contact for medical equipment and supply vendors. Maintain strong relationships, request quotes, confirm order statuses, and promptly resolve supply chain issues or order discrepancies.
  • Logistics & Shipment Tracking: Coordinate incoming and outgoing shipments, track deliveries, and liaise with freight carriers and courier services to guarantee on-time, compliant transport of medical supplies.
  • Inventory & Order Coordination: Reconcile purchase orders against packing slips and incoming shipments. Assist in monitoring warehouse stock levels to prevent inventory shortages or excess backorders.
  • Regulatory & Documentation Compliance: Ensure all shipping documents, bills of lading, customs declarations, and certificates of analysis meet local healthcare regulations and medical distribution standards.
  • Records & Invoice Processing: Maintain accurate vendor files, log order entries in the ERP system, and collaborate with the accounting department to verify and process vendor invoices.
  • Event & Meeting: Assist in organizing schedules, corporate events, medical workshops, and internal team meetings.
  • Policy Administration & Enrolments: Oversee end-to-end administration of the company group medical insurance policy. Handle onboarding additions, offboarding deletions, dependent additions, and plan changes in coordination with insurance providers.
  • Claims & Dispute Resolution: Assist employees with filing medical claims, reimbursement requests, and pre-approvals. Troubleshoot rejected or delayed claims and liaise with the insurer to resolve issues efficiently.

Requirements & Qualifications

  • Education: Bachelor’s degree in Business Administration, Healthcare Management, or a related field.
  • Experience: Minimum 2–3 years of administrative or office support experience in the UAE, ideally within a medical supplies or healthcare environment.
  • Software Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook). Familiarity with business accounting/inventory software (e.g., Zoho, SAP, Odoo and Tally ) is a strong plus.
  • Language Skills: Excellent written and verbal English communication skills (Arabic language proficiency is a distinct advantage).
  • Core Competencies: Strong organizational skills, high attention to detail, ability to multitask, and a professional demeanour.
