Job Summary:

As an Admin Supervisor you will be responsible to oversee administrative operations and ensure effective coordination across contracts, insurance, trademarks, projects, and compliance activities, including supervising the admin team, managing renewals and agreements, coordinating insurance matters, supporting project administration, and ensuring timely payments and documentation.

Job Responsibilities:

Contracts, Renewals & Compliance Tracking

  • Manage new and renewal processes for lease agreements, trademarks, AMC contracts, and property insurance.
  • Maintain and track expiry dates for all administrative contracts and agreements to ensure timely renewals.
  • Coordinate and manage trademark registrations, including new applications and renewals.

_ Insurance Management_

  • Handle insurance matters related to company properties, including quotations, renewals, and damage claims.
  • Coordinate vehicle insurance, including policy renewals, claims, and related documentation.
  • Coordinate with insurance providers and brokers to ensure adequate coverage and timely resolution of claims.

_ Project & Administrative Coordination_

  • Coordinate administrative activities for new projects, including quotations, payments, documentation, drawings, and related approvals.
  • Ensure all project-related administrative documents are properly maintained and readily available.

_ Payments & Financial Coordination_

  • Coordinate payments related to the Admin Department, including network card payments and other assigned expenses.
  • Work closely with the finance team to ensure timely and accurate processing of payments.

_ Export & Certification Support_

  • Assist Perfume Factory by coordinating and arranging necessary certifications and documents required for product export.
  • Ensure compliance with export regulations and documentation requirements in coordination with relevant departments.

_ Team Supervision & Leadership_

  • Supervise and guide the admin team to ensure efficient execution of administrative tasks.
  • Allocate tasks, monitor performance, and provide support and guidance to team members.
  • Ensure adherence to company policies, procedures, and timelines.

_ Reporting & General Duties_

  • Prepare periodic reports related to contracts, renewals, insurance, and administrative activities as required.
  • Support the Admin Manager with planning, process improvements, and special assignments as required.

Job Requirements:

  • Bachelor’s degree in business administration or a related field.
  • Minimum 4–6 years of experience in administration, logistics, or procurement coordination.
  • Strong knowledge of contracts, insurance processes, and administrative compliance.
  • Experience in handling trademarks, renewals, and regulatory documentation is an advantage.
  • Strong leadership and team management skills.
  • Excellent organizational and follow-up abilities.
  • Good communication and coordination skills.
  • Ability to manage multiple priorities and deadlines.
  • Proficient in MS Office applications.

Job Type: Full-time

Pay: AED5,000.00 – AED7,000.00 per month
