We have recently opened our office in Riyadh, and we have an exciting and rare opportunity for an Admin Assistant to join the team and assist with running the daily operation.
Job Description
As an Admin Assistant, you will be a key member of the team in our Riyadh office and will be the go to person supporting the sales teams with their day-to-day tasks and ensuring smooth operation across the office. The ideal candidate will act as a key point of contact for Saudi government entities, manage administrative and compliance tasks, and help ensure smooth day-to-day operations in a fast-paced environment.
Key Responsibilities:
Government & HR Support:
Liaise with key government bodies including MHRSD, GOSI, MISA, MOI, Riyadh Chamber of Commerce.
Manage activities related to work permits, Iqamas, visas (including exit/re-entry), and onboarding processes for expatriates.
Ensure compliance with Saudi labor laws, Saudization quotas (Nitaqat), and other requirements.
Handle government platform operations (Qiwa, Absher, Muqeem, Mudad, etc.).
Coordinate official document attestation through the Riyadh Chamber of Commerce.
Assist with government-related employee issues such as residency, labor disputes, and registration matters.
Maintain accurate HR and government records for audits and reporting.
Draft official correspondence in both Arabic and English.
Sales Support:
Assist the Sales team with administrative tasks including preparing quotations, compiling proposals, and updating client records.
Coordinate internal meetings, calls, and presentations for Sales activities.
Help organize logistics for client visits, trade shows, and sales events.
Track and manage sales documentation and follow up on action items with internal teams.
Support the preparation of reports and dashboards for the Sales department.
General Administrative Support:
Provide day-to-day support to team members across departments.
Manage office supplies, vendor coordination, and internal event logistics.
Coordinate meeting room bookings, set up conference calls, and prepare meeting materials.
Qualifications
Please note that due to Saudization, only Saudi nationals can be considered for this role.
Bachelor’s Degree in Business Administration or a related field.
Fluent in Arabic and English (spoken, written, and reading).
Strong organizational, time management, and multitasking skills.
Positive, proactive attitude and a willingness to take ownership of tasks.
Strong communication and interpersonal skills, with a professional demeanor.
Ability to work independently and collaboratively.
Experience with government portals (Qiwa, Absher, Muqeem, Mudad) is a plus.
Prior experience in administrative support, HR coordination, or sales operations is preferred.
