Role Summary:
The Operations & Administration Executive is the backbone of the Facilities Management and Fit-out department. This role combines high-level administrative coordination with hands-on operational support to ensure that project sites are compliant, teams are mobilized efficiently, and client requirements are met within budget. You will bridge the gap between the field teams and the corporate office, ensuring that every project—from a simple maintenance contract to a complex interior fit-out—runs like a well-oiled machine.
Key Responsibilities
1. Operational Planning & Mobilization
- Resource Allocation: Coordinate the deployment of technicians, site supervisors, and subcontractors to various project sites based on the daily schedule.
- Site Compliance: Ensure all necessary permits, gate passes, and No Objection Certificates (NOCs) are obtained from building management and local authorities before work commences.
- Material Coordination: Oversee the procurement and delivery of materials for fit-out projects, ensuring they arrive on-site according to the project timeline to avoid delays.
2. Project & Administrative Support
- Documentation Management: Maintain comprehensive project files, including Snag Lists, Work Completion Certificates (WCC), and variations to the original scope of work.
- Subcontractor Management: Review subcontractor invoices and progress reports against the actual work completed on-site before submitting them for payment approval.
- Health & Safety (HSE): Assist in the preparation of Risk Assessments and Method Statements (RAMS) to ensure all site activities meet safety standards.
3. Facility Management Coordination
- Service Level Agreements (SLAs): Monitor the performance of soft and hard service contracts to ensure KPIs are met and clients receive the agreed-upon level of service.
- Preventive Maintenance (PPM): Assist in scheduling and tracking periodic maintenance tasks, ensuring all assets (HVAC, Electrical, Plumbing) are serviced as per the annual plan.
- Client Liaison: Act as a central point of contact for tenant or client complaints, ensuring rapid response times and effective resolution.
Qualifications:
- Education: Bachelor’s degree in Business Operations, Civil Engineering, or Facilities Management.
- Experience: 3–5 years of experience in an operations-heavy administrative role within the Fit-out or FM industry.
- Attributes: A problem-solver who thrives in a fast-paced environment and possesses the "Four-Eyes" level of detail when reviewing site documentation.
Pay: AED7,000.00 – AED8,000.00 per month
