Job Summary: Oversee and develop administrative affairs operations to achieve the company’s strategic goals by improving operational efficiency, automating procedures, enhancing compliance with quality standards, and ensuring the efficient delivery of support services to all departments and regions.
Key Responsibilities:
1. Planning and Development:
Contribute to setting strategic objectives for the department in alignment with the company’s vision and goals.
Develop operational plans and executive programs for administrative operations and ensure alignment with general objectives.
Develop and regularly update administrative policies and procedures based on best practices.
Supervise the implementation of quality plans and ensure compliance with approved standards such as ISO9001.
Participate in regular management meetings and provide input on related decisions and procedures.
Prepare periodic reports for the department head on administrative performance and recommend necessary improvements.
2. Operational Management:
Supervise work teams to execute administrative operations efficiently across all internal and external regions.
Monitor the provision of support services and ensure their quality according to defined performance standards.
Establish effective communication mechanisms to coordinate operations across different departments.
3. Digital Transformation and Process Automation:
Lead digital transformation initiatives in administrative affairs, including full automation of internal and external tasks via the company platform.
Oversee ticketing system implementation to enhance operational efficiency.
Develop innovative technological solutions to improve workflows and enhance employee experience.
Create digital dashboards to monitor performance and analyze operational data.
4. Performance Management and Compliance:
Set and monitor Key Performance Indicators (KPIs) to ensure operational efficiency and continuous process improvement.
Ensure compliance with applicable laws, regulations, and standards related to administrative operations and support services.
Analyze and manage operational risks to ensure business continuity and minimize potential challenges.
5. Facilities, Maintenance, and Operations Management:
Supervise facility and branch maintenance and operation contracts to ensure adherence to required standards.
Follow up on preventive and corrective maintenance plans to maintain operational asset readiness.
Monitor contracts related to maintenance, security, insurance, and support services, ensuring compliance with contractual terms.
Qualifications:
Education: University Degree
Experience: 5–10 years of relevant experience
