About the Role
We are seeking a detail-oriented and organized Accounts & Administrative Officer to support the Company’s accounting and administrative operations.
The role will primarily focus on accounting activities, including bookkeeping, invoicing, accounts payable and receivable, reconciliations, financial documentation, and other assigned accounting functions. The position will also provide general administrative support to ensure the smooth and efficient operation of the office.
The Accounts & Administrative Officer will work closely with the Accountant and will be responsible for independently handling certain assigned accounting processes while providing support on other accounting activities. The scope of independently assigned responsibilities may develop over time based on the employee’s experience, performance, and the operational requirements of the Company.
Accounting Responsibilities
- Handle assigned day-to-day accounting and bookkeeping activities accurately and on a timely basis.
- Record and maintain financial transactions in the accounting system.
- Prepare and process invoices, receipts, payment vouchers, purchase orders, expense reports, and supporting documentation.
- Handle assigned accounts payable and/or accounts receivable activities, including recording transactions, maintaining records, and following up on outstanding items.
- Prepare and maintain records relating to customer and vendor accounts.
- Perform or assist with bank reconciliations and investigate routine discrepancies as required.
- Maintain and reconcile petty cash and related supporting documentation.
- Follow up on outstanding invoices, receivables, payments, and required accounting documents.
- Verify invoices, receipts, payments, and supporting documents for accuracy and completeness.
- Prepare accounting schedules, reconciliations, and reports relating to assigned areas of responsibility.
- Maintain complete and properly organized accounting records and supporting documentation.
- Assist with payroll-related accounting documentation and records as required.
- Support month-end and year-end closing activities by preparing assigned schedules, reconciliations, reports, and supporting documentation.
- Prepare documentation and information required for internal and external audits.
- Coordinate with clients, vendors, suppliers, banks, and other parties regarding routine matters relating to assigned accounting responsibilities.
- Take ownership of specific accounting processes or functions assigned by Management, while coordinating with and reporting to the Accountant.
- Assist the Accountant with other accounting, reporting, reconciliation, and financial activities as required.
Administrative Responsibilities
- Provide general administrative and office support as required.
- Maintain organized physical and electronic records and filing systems.
- Prepare correspondence, reports, spreadsheets, presentations, and other company documents.
- Coordinate routine office requirements, meetings, appointments, and administrative arrangements.
- Monitor office supplies, stationery, equipment, and related requirements.
- Liaise with vendors, suppliers, and service providers and obtain quotations when required.
- Maintain vendor and supplier administrative records.
- Assist with document control, filing, scanning, data entry, and record management.
- Support the HR & Administration function with assigned administrative activities when required.
- Maintain confidentiality of company, employee, client, and financial information.
- Perform other related duties assigned by Management.
Qualifications & Requirements
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field, with an Accounting or Finance background preferred.
- 1-3 years of relevant experience in accounting, bookkeeping, accounts support, or a combined accounts and administrative role.
- Good knowledge of basic accounting principles and bookkeeping procedures.
- Practical knowledge of accounts payable, accounts receivable, invoicing, reconciliations, and financial record-keeping.
- Proficiency in Microsoft Excel, Word, and Outlook.
- Experience with accounting software is preferred.
- Strong numerical ability, accuracy, and attention to detail.
- Good organizational and time-management skills.
- Ability to take responsibility for assigned processes and complete tasks accurately within established deadlines.
- Good written and verbal communication skills in English.
- Arabic language skills are an advantage.
- Ability to maintain confidentiality and handle sensitive financial information professionally.
- Ability to work independently on assigned responsibilities while collaborating closely with the Accountant and other team members.
- Previous experience in Qatar or the GCC is an advantage.
